Quickly and Accurately Generate Large Numbers of Documents with our High Volume Module
SmartDocuments’ document creation tool makes it easy to generate beautiful, personalized documents – fully automated and all. What about when it’s not ten or a hundred documents, but more than ten thousand?
If you work in an organization where a lot of documents are created, you know how time-consuming and error-prone it is to prepare each document manually. Whether it’s letters or invoices – especially if you want to personalize documents, the risk of errors is high. If you then also want them all in the correct house style, you may set aside quite a bit of time to complete your tasks.
Streamlined Document Creation
Fortunately, there are tools (such as SmartDocuments :-)) available that streamline document generation, thus saving money and time. What’s more, it also makes working much nicer, simply because eliminating repetitive tasks and being able to do your job efficiently is energizing. SmartDocuments’ software does this with the help of smart templates; with our solution, you manage your template content and corporate identity elements (such as the logo and font) in a central environment. Documents are created based on pre-built templates and personalized by the end user with a convenient question-answer dialog, or automated, such as with XML or JSON.
Large Numbers, Complex Documents
Suppose you want to generate really large numbers of complex documents with our software tool. Think of invoices, pay slips, or a letter about an upcoming rent increase, addressed to tens of thousands of recipients, for example. We are talking about complex documents with all sorts of differences between them, more than just personalized addressing. Despite all these variations, these documents must be put into the same format.
If this is your daily routine, then our High Volume module is the solution. Because, although our software aims to make the process as efficient and automated as possible, with such quantities you soon run into the limits of what is maximum feasible. This is because the automation of these numbers of documents simply demands a lot from the systems you work with. This is why we have developed the High Volume module.
Asynchronous Queues
Our High Volume module allows you to create large numbers of documents quickly and efficiently. If you work with this module, it is for example possible to generate 1,000 different documents with 1,000 different XML files. Why do you need this module? Retrieving data, copying it correctly into the template, then creating and sending the document are different processes that must be completed for all these documents. Complex and burdensome when such numbers are involved. This is why our High Volume module works with several queues, which are completed asynchronously. It makes it easy to intervene if something goes wrong somewhere in one of the processes – and what’s more, we make it clear at which document it went wrong.
Our high-volume solution also makes it possible to plan the various processes in advance. This gives you complete control over the entire workflow for all those complex documents.
What About the Mail Merge?
Mail merge, what is that again? Mail merge is the old-fashioned merging of data from one database (like an Excel spreadsheet, for example) into a word processor like MS Word into one document template. This is also possible with SmartDocuments, with our module Multi Document Output (MDO). The difference with our high-volume solution is that with mail merge we are talking about one source file that generates all documents via one template. If you work with multiple source files or create tens of thousands of documents, high volume is the module you need.
